The Role
We’re looking for an Executive Assistant / Office Manager to support our leadership team and help keep day-to-day operations running smoothly. This role is hands-on and highly visible, providing administrative support, managing calendars and communications, coordinating tasks and projects, and assisting with office operations.
This position is ideal for someone organized, proactive, and eager to learn about business operations, with the potential to grow into a management or operational leadership role in the future.
What You’ll Do
- Manage the CEO’s and other leadership calendars, prioritizing key meetings and commitments.
- Review, filter, and draft important emails to ensure smooth communication flow.
- Organize and coordinate travel, accommodations, transportation, and logistics for both in-person and virtual meetings.
- Prepare materials, presentations, and reports for internal and external meetings.
- Track tasks and internal projects to ensure deadlines are met.
- Participate in virtual meetings, taking notes and summarizing action items as needed.
- Ensure the smooth operation of the Quito office (supplies, equipment, maintenance, vendors).
- Assist in organizing internal events, trainings, or team meetings.
- Serve as a point of contact between the CEO/leadership team and other team members or external partners.
- Facilitate communication across departments to speed up decision-making and processes.
What We’re Looking For
Must-Haves:
- Fluent English communication (written and spoken).
- 3+ years of experience supporting executives, managing operations, or office management.
- Strong organizational and time-management skills, with the ability to prioritize and multitask effectively.
- Excellent attention to detail and problem-solving abilities.
- Comfort handling confidential information and exercising discretion.
- Proactive, resourceful, and able to anticipate needs before they arise.
- Experience with calendar management, travel coordination, and task/project tracking.
- Familiarity with collaboration and productivity tools (e.g., Google Workspace, Microsoft Office, Zoom, Slack, Asana, ClickUp, Notion).
- Ability to communicate clearly and professionally across multiple teams and stakeholders.
- Strong interpersonal skills and adaptability in a fast-paced environment.
- A self-starter mindset, capable of taking ownership of tasks with minimal supervision.
Bonus Points For:
- Previous experience in fintech, private capital, or fast-growing startups.
- Exposure to executive-level decision-making and strategic planning.
- Experience supporting multiple executives or departments simultaneously.
